Information collected
The membership application asks for identity and affiliation, country and gender, email and WhatsApp contact details, educational and professional background, research interests, preferred working groups, how you heard about EViF, and a typed declaration signature.
The service also records the application reference, status, consent version and time, account security records, review history, and limited technical security information required for sessions and abuse prevention.

Purpose and access
EViF uses this information to review free membership applications, create approved member accounts, communicate application decisions, maintain member profiles, and plan relevant working groups and forum activities.
Application details are visible only to authorized EViF administrators and the approved member. EViF does not sell membership information or publish it in a member directory.

Retention
- Rejected applications are deleted after 90 days.
- Pending applications with no decision are deleted after 180 days.
- Approved profiles remain while the member account is active.
- After account deletion, active records are removed and backup copies expire within 30 days.

Your controls
Approved members can view and correct their profile, request a verified email change, reset their password, or delete their account from the member area. Applicants and former members can also contact EViF to ask about their information.

Security
Membership data is stored in a private PostgreSQL database that is not exposed directly to the public internet. Access is protected by server-side authorization, secure session cookies, encrypted transport, audit history, rate limiting, and restricted administrator roles.
No online system can promise absolute security. EViF will review and update these controls as the membership platform evolves.

Use the EViF contact page for privacy questions, correction requests, or concerns about membership information. Identity verification may be required before private information is changed or disclosed.
